HR Documentation Intern (Tripoli / Benghazi)

About the role

The International Rescue Committee (IRC) is closing its Libya office and needs two HR interns, one in Tripoli and one in Benghazi, to support the review, scanning and electronic archiving of all physical HR documentation. The goal is to ensure proper record retention, accessibility and compliance with organizational policies, and to digitize and organize employee files and other HR records within a limited timeframe.

Key responsibilities

• Organize, digitize and manage employee records in line with IRC's data protection policies, including labelling, categorization and updating databases.
• Archive HR documents and employee records and scan physical files, uploading them to the document management system.
• Ensure accurate labelling, categorization and indexing of files for easy retrieval.
• Maintain confidentiality and security of personnel files and sensitive information.
• Update and maintain the HR database and file tracking systems.
• Conduct periodic audits of archived documents and respond to internal document retrieval requests.
• Support administrative and clerical tasks and collaborate with the HR team to streamline filing and recordkeeping.

Required profile

• Basic computer literacy and ability to use scanning equipment and manage electronic files.
• Strong attention to detail and accuracy.
• Ability to handle confidential information with discretion and professionalism.
• Ability to work collaboratively, take instructions and ask for clarification when needed.
• Commitment to IRC values, professional conduct, safeguarding and respectful workplace principles.

Conditions

• 8 hours a day, 9:00 to 17:00, Sunday to Thursday; accuracy and flexibility in timing are required.
• Contract duration of 2 months.
