Operations Assistant – Charter Movements

About the role

The Operations Assistant – Charter Movements supports IOM’s operations team to ensure the orderly and timely implementation of charter flight programmes for migrants. Working under the Deputy Chief of Mission and the Operations Officer, the role coordinates all aspects of charter movements in line with IOM procedures.

Key responsibilities

• Send charter requests to the Central Migration Management (CMM) and coordinate with receiving missions, managing name lists, charter flight details and the distribution of Advance Booking Notifications (ABNs) and landing permits.
• Perform daily coordination with IOM airport staff, finance, medical and other units on charter‑related issues.
• Arrange ground transport for migrants travelling from embassies or detention centres to international departure points.
• Liaise with the Medical Unit to ensure required medical logistics and follow‑up procedures are completed on time.
• Verify that all ready‑to‑travel migrants are included in the final manifest to avoid last‑minute changes.
• Prepare accurate movement statistical reports for the Operations Unit.
• Maintain Proflight files, ensure timely closure of files and hand over documentation to the Finance Operations Assistant for invoice processing.
• Undertake any other duties assigned by supervisors.

Required profile

• Works under the overall supervision of the Deputy Chief of Mission and the direct supervision of the Operations Officer.
